Payroll clerks are generally employed by corporations or organizations to compute and process employees’ wages and to prepare their paychecks. This may involve everything from entering new employee information into the payroll system and introducing them to the disbursal process, to verifying attendance, hours, and vacation time, to computing wages, and finally to ensuring that checks are mailed or direct deposits are made in a timely fashion. In addition, payroll clerks must take into account exemptions, transfers, resignations, and additional considerations that may affect the amount, frequency, or recipient of payments from the organization. Last but not least, payroll clerks may troubleshoot payment issues with other employees or with supervisors to ensure that everything runs smoothly.

In order to successfully complete their tasks, payroll clerks need to have a basic understanding of math and arithmetic, and the ability to use desktop and tablet computers, calculators, and multi-line phone systems. Furthermore, a familiarity or the ability to become familiar with Microsoft Office Suite (including word processing, presentation, and spreadsheet software), as well as accounting software (e.g., Quickbooks Pro), E-mail software, web browsers, and time accounting software (e.g., Unitime Systems software) is essential. While the specific software used may differ somewhat among different employers, the general categories do remain relatively consistent.

In addition to familiarity with arithmetic and some software, payroll clerks also need a solid foundation in English, and perhaps in other languages spoken by employees. This proficiency, together with strong listening and comprehension skills, will allow them to communicate successfully with employees and management alike. Furthermore, a basic knowledge of clerical and administrative procedures will help them function more quickly and efficiently, and even a cursory familiarity with computers and electronics should help them troubleshoot basic issues without overly relying on company technical personnel.
